How long will it take to process a request to receive my medical records?

Requests for records submitted to Circle Medical are usually processed and delivered to you within three business days. However, the timeline can vary based on the volume and detail of the records requested. If more details are needed to process your request, a Patient Care Advocate (PCA) will reach out to you via chat.


Can I have records sent to me via email?

Yes. Your Care Team can send you your medical records securely through email or the HIPAA-compliant chat feature. Please be sure to specify the preferred method of delivery in the request for your medical records.


What if the secure link to my records expires?

When you request your medical records via chat, your Care Team will send you a secure download link. For your security, this link expires seven days after it is sent. If the link expires before you can download your records, start a chat with your Care Team to request a new link.



Can I share my secure link with others?

No. Your link is private and intended for your exclusive access. Sharing the link violates security practices. If an external provider or organization needs your records, they can email [email protected] or fax a request to (888) 803-3331.



How long will it take for external clinics to send my records to Circle Medical?

External clinics vary in their processing methods. In compliance with HIPAA regulations, once the receiving facility has acknowledged receipt of the request, they’ll have 30 days to provide your records. To speed up the process, we recommend contacting the external clinic directly for a status update.
