Your Circle Medical provider can review records from another clinic, hospital, or specialist. You can upload them, ask Circle Medical to request them, or have that facility send them to us.
This article explains each option, how long it usually takes, when to reach out, and what to do if a file does not show up.

How long until your provider can review them?
You upload them, or we receive a file: allow 3 to 5 business days for the records to be added to your chart and shared with your provider.
An outside clinic sends them after we request them: that clinic's process varies and it can take up to 30 days for an outside transfer to process. Contact that clinic if you want a status sooner.
These clocks are not the 3 business days for sending a copy of your Circle Medical chart to you. That timeline is in How to get your own medical records.
Option 1: Ask the other facility to send the records
Give the other clinic or provider one of these:
Fax: (888) 803-3331
Email: [email protected]
Hours for the medical records team are in How to contact Circle Medical.
Option 2: Ask Circle Medical to request them
Open the Circle Medical app or the web portal.
Open the Health tab.
Select Prior medical records.
Select Add/request record.
Select Request from prior facility and follow the prompts.
If you do not have an electronic copy, this is the path to use. You can also contact that facility yourself and use Option 1.
Option 3: Upload the records yourself
Use this when you already have a PDF, photo, or screenshot.
Open the Circle Medical app or the web portal.
Open the Health tab.
Select Prior medical records.
Select Add/request record.
Select Upload.
You will see a confirmation of a successful upload
For a photo of blood pressure, pulse, height, or weight, the vitals article has the extra step of choosing Vitals on the upload screen. See How to share your vitals.
Who decides if the records are enough
The support team cannot tell you whether an upload is enough for a specific appointment or a specific request from your provider. Your provider decides that when they review your chart. If you are unsure what to send before an appointment, ask your provider at the appointment.
When to contact the support team
You uploaded a file and need to know it arrived: start a chat. Include the date you uploaded and the facility name on the document.
More than 5 business days after an upload or after we received a file, and you still need your provider to have it before a visit: start a chat.
More than 30 days after an outside clinic acknowledged our request, and the records are not here: start a chat. Include the facility name, address, phone, and fax if you have them.
The app will not take the file: start a chat. You can also email the file to [email protected] from the email on your Circle Medical account.
What to do if something goes wrong
I did not get a confirmation email
Do not assume the upload failed. Start a chat and ask us to check your chart. If you still have the file, you can upload it again or email it to [email protected].
I cannot see a status on the upload
There may be nothing on the file that says received or in review. Allow 3 to 5 business days. If you have a appointment sooner than that, start a chat and include the appointment date.
The other clinic has not sent the records
Contact that clinic for a status. If they need our fax or email again, use (888) 803-3331 or [email protected]. If it is past 30 days from when they acknowledged the request, start a chat with the facility name, address, phone, and fax.
I need to send the file again
Upload it again, or email it to [email protected]. Emailing that address sends records to Circle Medical. It does not send your chart to another provider.
