Payment Process Overview

When it’s time to pay for your appointment, it’s important to understand how the process works so you’re prepared and there are no surprises. Whether you’re using insurance or opted to be self-pay, here’s what to expect; from how you’ll be notified to the payment methods you can use.

Payment Timeline

Using Insurance

If you have insurance on file, the claim process typically takes 4–6 weeks. Once finalized, you’ll receive an email notification about any balance due. The system will automatically charge your card on file within 48 hours of the invoice being created.

Self-Pay

If you are self-pay, a valid payment method must be on file before scheduling. After the appointment, your card will be automatically charged within 48 hours of the invoice being created.

Paying your Invoice

You can submit payment through the billing tab in the mobile app or web app. Select the applicable appointment to view the invoice and use the “Pay Now” option if you prefer to pay manually before the automatic charge.

Accepted Payment Methods

We accept most major credit and debit cards, as well as Apple Pay.

Eligible HRA, HSA, or FSA cards may also be used, provided the card is active and authorized for healthcare expenses.

Is a Primary Payment Method Required?

We require one primary payment method on your account for billing. Having a primary payment method on file also ensures that any balances, like deductibles or copays are processed quickly, saving you time and reducing administrative hassle.

Are Payment Plans Available?

No, we do not offer payment plans, so it’s important to have a valid primary payment method ready to cover any balances promptly.

Can I make a partial payment?

No, we do not accept partial payments. Every invoice needs to be paid in full.

Do you accept Medicaid or Medi-Cal insurance?

We are not contracted with Medicaid or Medi-Cal insurance, so we can't see patients with these benefits - even if they pay out of pocket. Using our services while receiving Medicaid or Medi-Cal benefits could put your benefits at risk, so please disclose this information before receiving care. Patients who don't disclose this information may be discharged from our practice.

Can invoices be mailed to patients?

No. Circle Medical is a paperless practice. Once generated, Invoices can be found in the app under the Invoices tab.
