How our cancellation, reschedule, and no-show fees work, how to avoid them, and what to do if you have questions about a charge.

Plans change, and we want to make it easy to change yours. Here's how our fees work, how to avoid them, and what to do if you have questions about a charge.

  • Cancel at least 24 hours before your appointment to avoid a $50 late cancellation fee.

  • Reschedule at least 12 hours before your appointment to avoid a $50 late reschedule fee.

  • Join within 10 minutes of your start time. Joining later may count as a no-show, which has a $50 fee.

  • If your provider doesn't join, we'll cancel the appointment and you won't be charged.

  • Fees are charged to the payment method on file in your account.


Late cancellations

What counts as a late cancellation?

Any cancellation made less than 24 hours before your appointment's start time. For example, if your appointment is Thursday at 10:00 AM, cancel by Wednesday at 10:00 AM to avoid a fee.

How much is the fee?

$50.

How do I cancel?

You can cancel from your Circle Medical account. Follow the steps in How to cancel or reschedule your appointment. Once an appointment is cancelled, it can't be restored, so you'll need to book a new one.

Can I still cancel if it's less than 24 hours away?

Yes. Cancelling, even late, frees up the time for another patient. The $50 fee will still apply.


Late rescheduling

What counts as a late reschedule?

Moving your appointment to a new time less than 12 hours before it starts.

How do I reschedule?


No-shows and joining late

What counts as a no-show?

Not joining your appointment, or joining more than 10 minutes after the start time.

How much is the fee?

$50.

I'm running late. What should I do?

Let us know through chat if you are running late so we can help reschedule the appointment. A fee may be charged if you're over 10 minutes late.

How do I avoid a no-show fee?

If you can't make it, cancel at least 24 hours ahead or reschedule at least 12 hours ahead. Before your appointment, check that your camera, microphone, and internet connection work, and that you're in a location where your provider can see you.

What if I have technical problems joining?

Try the steps in Resolving common video appointment technical issues. If you still can't connect, message us through chat as soon as possible.


If your provider doesn't join

What if my provider doesn't show up?

We'll cancel the appointment at no charge to you at the appointment end time. You can book a new time whenever it works for you.


Emergencies

What if I miss my appointment because of an emergency?

We understand that emergencies happen. Message us through chat as soon as you're able, and tell us what happened with any supporting evidence. We review each request individually to determine if a fee can be waived.

What counts as an emergency?

  • A medical emergency affecting you or an immediate family member

  • A death or urgent crisis in your family

  • Severe weather or a natural disaster that prevents you from joining


Questions about a fee

How will I be charged?

Fees are charged to the payment method on file in your account.

Will my insurance cover the fee?

Cancellation, reschedule, and no-show fees are not covered by insurance. You'll pay the full $50.

I think I was charged by mistake. What should I do?

Message us through chat, including your appointment date and time, and tell us what happened. We'll look into it and get back to you.
