How to Remove a Medicaid-Related Hold on Your Chart at Circle Medical

If you have a Medicaid-related hold on your account, you must provide specific documentation to resolve the hold and continue using services. This article outlines the requirements and the process for submitting the necessary information.

Why Documentation is Required

Circle Medical cannot directly confirm Medicaid coverage status due to limitations in how Medicaid reports eligibility. Therefore, we require official documentation to verify that you no longer have Medicaid coverage. This ensures accuracy in your insurance profile and helps avoid potential complications, such as overlapping commercial insurance and Medicaid coverage.

Why Circle Medical Cannot Accept Medicaid

Circle Medical is not contracted with Medicaid, which means we're unable to see patients who have Medicaid coverage. Medicaid is administered separately by each state, and we’re not currently contracted with those state programs. As a result, we cannot provide care to patients who have Medicaid, even if they choose to pay out of pocket or use another form of insurance.

Required Documentation

To remove a Medicaid-related hold, you need to submit one of the following:

  1. Letter of Termination from Medicaid - This document confirms that your Medicaid coverage has been terminated.

  2. Letter of Ineligibility - Issued by Medicaid or your local Department of Social Services, this document provides evidence that you are not eligible for Medicaid coverage.

The document must clearly display your full name and:

  • A printed notice of ineligibility

  • Or a coverage termination date

Steps to Submit the Documentation

Follow these steps to submit your documentation for review:

  1. Prepare the Documentation: Ensure the letter contains all required details, including the termination date or proof of ineligibility. If you face challenges obtaining this documentation, you can contact your local Department of Social Services for assistance.

  2. Submit via Email or Chat:

  • Email: Send a scanned copy of the document to [email protected]. Ensure the email subject and message clearly indicate your purpose.

  • Chat: Alternatively, you can send the documentation through the chat feature in the Circle Medical patient portal.

The Medicaid reviews team will upload and review your documents once received. Please allow time for your request to be processed. You will be informed about the next steps after the review process.

Continuing Your Treatment After Medicaid Cancellation

You can continue receiving care at Circle Medical after your Medicaid has been canceled, provided the necessary documentation is submitted and the hold on your account is removed.
